Incorporated in 2010, Katoni Engineering Ltd is an integrated engineering service provider to the energy sector.

Operating to the highest standards of QHSE management, Katoni Engineering was the first company in the UK to secure the safety standard ISO45001 with Lloyds Register (LR). Katoni specialises in supporting customers with the management of their late-life assets as well as providing high-quality consultancy support across the UK Continental Shelf (UKCS).

Disconnected legacy systems creating inefficiencies

Katoni, a small but growing business, was undergoing a period of rapid growth. Despite doubling in size between 2017 and 2019, Katoni was operating without a dedicated HR system but was actively managing a range of functions via excel spreadsheets and paper documents.

Inefficiencies were, however, increasing due to the increasing demand on Katoni’s disparate legacy systems. Leadership had begun to spend an unsustainable amount of time managing people processes.

Katoni could demonstrate an effective people management process but wanted its systems to be industry leading. It wanted to demonstrate the necessary compliance but also wanted to differentiate its business from competitors and remove room for error within its people processes. A key aim was to continue to minimise the need for additional overheads within the company.

Whilst Katoni needed a solution to manage its HR requirements. It also wanted a solution that would be best in class and support employees from hiring and on-boarding, right the way through the employee lifecycle, without having a dedicated in-house HR resource. The solution therefore had to be fully self-service and also allow automated reporting and interaction with other new systems.

Katoni approached Incremental after attending Incremental’s Dynamics Forum event in Edinburgh. As part of Katoni’s business offering, it often has to demonstrate that all its team members have the necessary qualifications and competence to meet statutory requirements or a customer’s quality criteria. A primary requirement for a new system was therefore the ability to be able to demonstrate and track this compliance. The Employee Profile module of Dynamics 365 Human Resources was the solution.

Katoni required the ability to accurately manage hundreds of jobs. Removing the use of excel sheets and giving the users of the system a single touchpoint with a full overview of all jobs and customers was key. This critical requirement was incorporated effectively and removed much of the inaccuracies and delay to Katoni’s job booking protocols.

As Katoni does not have an in-house HR team, the system had to be fully self-service for its employees, covering every part of the employee journey. The People Card functionality of Dynamics 365 Human Resources gave Katoni a full directory of employees, providing visibility into rich profiles and simplified employee verification, leave and absence tracking and employee record update processes.

The seamless implementation of Dynamics 365 Human Resources quickly transformed Katoni’s people management processes

Key results:

  • Self-service HR system functionality – Katoni’s fully self-service HR system allows employees to track and update professional certifications, track training, manage performance, book leave and manage sickness. This fundamental requirement of the system was achieved and developed with ease.
  • Reporting and compliance – Having a system that could allow reporting for audit purposes was key and the solution delivered surpassed the requirements of Lloyds Register to ISO 9001, 14001 and 45001 standards. Katoni also achieved FPAL verification with scores above the industry benchmark.   • Improved functionality – The system effectively allows Katoni to manage its people process. Manual HR processes are no longer in use and as a direct result, manual errors and delays in workflows are no longer hampering Katoni’s growth and development plans.
  • Joined up solutions – The solution allows for future integration with other systems currently in use by Katoni, such as Dynamics 365 Business Central. Katoni is exploring these integrations as part of its digital transformation.
